[EXLIBRIS-L] Iindexing and cataloging question: displaying relator terms in indexes



UC Irvine uses the Innovative Interfaces (III) system, so the source of the problem may be different than with Aleph, but here's our story: the III authorities/headings validation subsystem uses a set of specified subfields (e.g. |a, |d, [whatever]) to define what constitutes a "heading" for validation purposes. Relator terms (in |e) are omitted from UCI's validation specs so as not to "mess up" the authorities process. Since the string that's validated is the string that displays in indexes, the |e data therefore doesn't display in our indexes.

I was at UC San Diego when that campus brought up its initial implementation of the III system, and since the system was being newly implemented, I was able to negotiate having the |e data included in the authorities validation string so that name indexes could include the relator terms and thus differentiate those items for which a particularly person or organization functioned in different roles (author v. printer v. binder v. [whatever]). It was really very generous of the system implementors to let us have this, since it means that the staff who manages the authorities validation process has to ignore the many iterations of fields with irrelevant relators (i.e., the "il." and "illus." and "ed." relators that show up on lots of older records).

Oddly enough, it will show for 710 fields however. Go figure.

We've been told that to have it work for 700 fields it would "mess up"
the indexing, although I've not understood the explanation on that one.

I'm a special collections cataloger at Texas Tech University. I've
used
relator terms in 700 fields for many books in our collection, but our
system does not index them so that the books by a particular person
(as
entered in a 100 field) fall into a different list than the books with
the 700 field and a subfield e, relator term. By this I mean that the
basic author browse searches both 1xx and 7xx fields, but doesn't
display 7xx with subfields on a different line in the browse return
hit
list. Our problem is perhaps exaggerated because our manuscript/book
collection focuses on contemporary writers, people still publishing
today.


We use Aleph (Ex-Libris), so any suggestions from other users would be
greatly appreciated. This is causing a great problem for our patrons,
but I can't seem to explain it well enough to our systems people to
get
the solution I want. One of their suggestions was to confine the
author
search to 1xx fields.



Is it impossible to have separate listings? How could that be accomplished in Aleph? Please feel free to reply to me off-list.
